Bookwhen.com is a site that allows users to take online bookings for events. The site handles all of the details of booking for an event, and emails the user whenever they receive a new booking. To use the system, the user first adds a new event by entering a description of the event, the time and date of the event and the length of the event. The user is provided with a custom URL that customers can visit to book the event. The URL is in the form bookwhen.com/MyBookingPage, where the user can specify MyBookingPage. Customers must enter their email address to book an event, and are sent an activation email. Once they click on the link in the activation email, they receive a reference number and the event is booked. At this point the booking goes in the Bookwhen user’s list of bookings for the event, and both parties are sent an email notification of the booking. The Bookwhen user has a convenient top menu bar for navigation. The menu bar includes tabs for Dashboard, Schedule, Bookings and Public View. The Dashboard gives an overview of the user’s account. The Schedule tab is where the user can view scheduled events and add new events. The Bookings tab allows the user to view all of the bookings that have been taken by event. The Public View shows the user what the booking page looks like to customers. The Public View can be customized. The site also has the ability to accept payments for bookings via PayPal. The site does not charge a fee for each booking – pricing is on a monthly subscription basis.

Competition to Bookwhen.com comes from Tix.com and Ticketleap.com. Tix.com provides a complete online ticketing solution, including features such as seat selection and E-tickets. Ticketleap.com provides a similar service to Bookwhen, but has a much larger userbase. Look for Bookwhen to grow rapidly, as the service is very reasonably priced when compared to the competition.
The tools for creating and editing events and the Public View are intuitive and easy to use. There is no advertising displayed on the Bookwhen.com site.
Registration to the Bookwhen.com site is free and is required to use the service. The registration process simply asks for email address and password. Activation of the email address is required. Once registered, the user is prompted to fill out their contact and profile information. A free account at Bookwhen.com is limited to a maximum event size of 100 and a maximum of 100 bookings per month. The free account is good for 14 days. In addition, a free account cannot be used to accept payments for bookings.
There are three levels of paid membership available – Basic, Pro and Max. The Basic plan has a maximum event size of 100 and allows for 250 bookings per month. A Pro account has a maximum event size of 250 and allows for 2500 bookings per month. The Max plan allows an unlimited event size and 6000 bookings per month. The Basic account costs $10 per month, Pro is $20 per month and Max is $50 per month. A PayPal account is required to accept payments.
The Bookwhen.com site is recommended to anyone who has a need to take bookings for events. The site is ideal for motivational speakers, conference promoters and entertainment promoters.
